A wedding seating chart tells each guest where to sit. These six steps keep it manageable.

## Key points

- Start with a final guest count, then group guests into families, friends and colleagues.
- Pick your table shape and size before you assign seats.
- Write down the hard rules first (who must sit together or apart), then place the rest.
- Check every table once, then print the chart and the place cards.

## Step 1. Get your guest list ready

Count only confirmed guests, plus-ones included. List each person once with a group name such as “Smith family” or “college friends”. A spreadsheet works well. You can [download a guest list template](https://seatingsolver.com/seating-chart-template/).

## Step 2. Choose your tables

Ask your venue how many tables fit and how many seats each holds. Round tables help conversation. Long tables feel more like a family meal. Fill tables evenly. A table of eight with two empty seats looks better than a table of ten with none free to move around.

## Step 3. Write down the rules

Write the few hard rules first.

- Who must sit together (couples, young children with parents).
- Who should sit apart.
- Who needs a specific seat, such as near the entrance or at the head table.

Keep the list short. The shorter it is, the easier everything else gets.

## Step 4. Place the head table or sweetheart table

Decide whether you want a head table, a sweetheart table for the two of you, or a regular table. Seat parents and the wedding party where your family traditions suggest, or leave them at their own tables if that is easier.

## Step 5. Seat the rest

Start with the groups that must stay together. Mix groups gently: two or three people who know someone else at the table usually get talking. Seat people who may not get along at different tables, not just across from each other. Or let Seating Solver place everyone from your rules, then adjust.

## Step 6. Check and print

Walk through each table. Look for single guests who know no one, and tables with mostly kids. Then print:

- [table numbers](https://seatingsolver.com/wedding-table-numbers/),
- a [seating chart sign](https://seatingsolver.com/wedding-seating-chart-sign/) for the entrance.

## Do it in Seating Solver

Paste your list, add your rules, arrange tables and press the seating button. Drag anyone to change it. Everything you print comes from the same plan.

## Wedding seating chart questions

### How do you make a wedding seating chart?

Make a final guest list, group people, choose your tables, write down who must sit together or apart, then assign seats table by table. Check each table once, then print the chart and place cards.

### How do you organize a wedding seating chart?

Organize guests into groups first (family, friends, colleagues), then set the hard rules, then fill tables group by group. A spreadsheet or a seating chart maker keeps the changes in one place.

### When should I make the seating chart?

After most RSVPs are in, so the guest count is firm. Leave a few days for late changes before you print.

### Do I need a seating chart at all?

Not always. Small or casual weddings can skip it. For larger guest lists it saves guests from wandering and helps keep the right people together.
